Whenever possible, scheduling is to be done through the Lotus Notes calendar. The Women’s Center’s three public areas are listed under “WC-Alumni Hall” and can be accessed via the “Scheduler” or “Meeting Invitations & Reservations” options. After submitting a reservation through Lotus Notes, the reserving party will receive notification that a reservation for the chosen room, date, and time was or was not confirmed, based on space availability. During the academic year the Women’s Center will be open during these hours: Monday, Tuesday & Wednesday - 9:00 am to 10:00 pm Thursday and Friday - 9:00 am to 5:00 pm Saturday & Sunday – Closed In the summer, the Women’s Center will be open Monday – Friday, 9:00 am to 5:00 pm. Reservations for events scheduled outside of those hours may require that a key be picked up in advance from Pattie Waugh. With questions on how to use the Lotus Notes calendar to schedule the Women’s Center public areas, or for those without access to Lotus Notes, please contact Pattie Waugh (X95490). When it becomes necessary to cancel a room reservation, the reserving party should do so as soon as possible so the calendar can be kept up-to-date. Reserving parties should also recognize that multiple groups may be using the Women’s Center at the same time, therefore each group should limit their activities to the space they have reserved. During evening hours (after 5 pm) the Women’s Center is staffed by a student employee. Any questions or concerns that arise while onsite during those times should be directed to the student employee. The Women’s Center contains a small kitchenette. Use of the kitchenette is restricted to the Women’s Center and UD Catering staff. All supplies stored in this area are for use by Women’s Center staff only. Each reserving party is responsible for ensuring that the area(s) they use is(are) sufficiently clean for the next group. At a minimum this means all paper picked up and removed or recycled, food-related waste removed from the Women’s Center, whiteboards erased, chairs replaced around tables, lights turned off, exterior doors locked (for after hours events) and keys left behind when departing or returned to the Women’s Center by close of business the next business day. Nothing is to be tacked to the walls or removed from the rooms. No candles or open flames are permitted in accordance with UD policy. Setup, including tables, chairs, and/or AV equipment, of all public areas in the Women’s Center is the responsibility of the reserving party. The setup and configuration of the Conference Room (#212) and Lounge (#210) cannot be changed, with the exception of adding additional seating if folding chairs from the Meeting / Work Room (#211) are available. The Women’s Center Meeting /Work Room (Rm. #211) may be reconfigured to best suit the needs of a specific event. Additionally, the podium and folding tables and chairs in that room may be used in other areas of the Women’s Center. However, none of these items are to be removed to areas outside the Women’s Center. Loss or breakage will become the responsibility of the reserving party. Phones / Computers / A/V equipment While there is wireless network access throughout the Center’s public areas, there are no telephones in the three reservable rooms. If an event requires A/V equipment or a telephone connection, discuss those needs with Pattie Waugh (X95490) before scheduling. It will be up to the reserving party to work with Telecom, UDit, Technology Support Services, etc. to arrange for any telephone, computer, or A/V equipment. Any costs incurred in making telephone or data connections and/or any long distance telephone charges incurred will be the responsibility of the reserving party.
The Women’s Center’s gallery space is limited to the 2 corridors that are physically within the Center. It DOES NOT include other “reservable” spaces such as the Conference Room (#212), Lounge (#210),or Meeting / Work Room (#211), nor does it include the Center’s reception area, Resource Center (#209), restroom, kitchenette, or private offices (#208, #205, #204, #203, #202, #201). Picture rails and gallery-style lighting have been installed in these corridors to enhance exhibited materials, which may be displayed on the walls (hung from the picture rails), on easels (the Women’s Center has a limited number of lightweight easels that can be used) on the floor, or any combination of these. Materials that may be displayed include paintings, photographs, 3-dimensional art, and poetry and/or prose, though other art forms will also be considered, subject to the limitations stated above in the Gallery Space Guidelines/Agreement Reporting Problems or Concerns Any problems or concerns relating to the use of these public areas should be reported immediately to Pattie Waugh in the Womens Center (X95490).
